Efficient claims management minimizes financial losses and optimizes cash flow. Addressing promotional allowances in a timely manner prevents costly disruptions to retailers and customers.
A leading pickled vegetable and sauce manufacturer approached us with a critical goal of clearing 97% of their retail claims within 60 days. Given their vast retailer network, timely claims resolution was vital for operational efficiency.
To achieve this ambitious objective, we assigned a dedicated Client Solutions Manager (CSM) to coordinate efforts across sales, claims, and client teams. Recognizing the importance of transparency and accountability, the CSM developed two key reporting tools:
- Aged Trial Balance (ATB) Reporting Tool: Shared bi-weekly, this tool provided detailed insights into problematic areas, allowing for the creation of targeted resolution strategies. It ensured that all stakeholders were informed and could take prompt action where necessary.
- End of Month Review: This monthly report offered a comprehensive overview of performance to date, highlighting accomplishments, identifying opportunities, and outlining action plans for the upcoming month. This review was essential for keeping key client leaders informed and engaged.
These tools transformed the client’s claims management processes, improving aged deduction clearance from 68% to 98%—a 30% reduction. The collaboration also reduced aged open balances (over 60 days) to less than 2%.
